General Membership Meeting

 

November 13, 2008

Members Present:

Jean Mandirola, Trish Olynciw, Laura Braica, Karyn O’Donnell, Sue Peck, Andrea Mashiak, Kathy Brewer, Kate Lynch and Amanda Vesce

 

 

              I.      Meeting called to order:  7:05 p.m. by Jean Mandirola

 

 

            II.      Treasurer’s Report:  presented by Kathy Brewer

·        Reviewed profit and loss statement

·        Checkbook balance - $3,292

·        Provided SADD group (advisor Tammy Bley-Gowash) $750 for deposit for pre-prom performer (Scotty Rock).  Monies were from the  freshman, sophomore and junior classes PTSA funds not requested by each class

·        Kathy made on-line submission to IRS regarding our <$25k, non-profit status. The application was filed to report our employee id number and to state that our gross receipts were less than $25K.  Filing was received and accepted by IRS for 2007 year. 

 

          III.      Approval of Minutes:

Minutes reviewed and approved without any changes from 10/16/08 meeting.  Motion made to accept minutes made by Kathy Brewer, seconded by Laura Braica.  Unanimously approved.

 

 

         IV.      Principal’s Report:

Gary Cotzin was not available

Presentation of Electives Curriculum tabled until 2/12/2009 meeting

 

 

 

           V.      Correspondence:

Received Staples reward card for PTSA along with $21 reimbursement check

 

 

 

 

 

 

         VI.      Board Members’ Reports:

 

Ø      Membership – Nora (not present – presented by Kathy Brewer)

·        Presently have 88 members, up from 86 last month

·        Membership dues have been deposited and proceeds of $602 are reflected on the Profit and Loss statement

 

 

Ø      Safe Grad – Karyn / Gail

·        Last meeting held on 10/28/2008 – very productive, had over 12 people attend and volunteer for various committees

·        Karyn will follow-up on the boat contract

·        Next meeting scheduled for 12/2/2008

 

 

Ø      Scholarship Fund – Trish

·        Trish Olynciw  volunteered to revise the existing PTSA solicitation letters from other committees and combine it into one letter for general solicitation

·        Reviewed letter and made suggested changes:  minor wording changes, include logo and signatures

·        Trish will also recruit team to review scholarship submissions

·        This year, changes will be made to process so all submissions will be anonymous to reviewers

·        Scholarship submissions will be reviewed in late Spring, more details to follow

 

 

Ø      Staff Appreciation – Committee

·        A committee of four volunteers will run the Staff Appreciation:  Sue Peck, Kate Lynch, Joy Squillace and Beth Caravella

·        Kathy Brewer (2007 chair) shared her ideas and how she obtained funding/food

·        Appreciation week scheduled for week of May 4th.  Tuesday, May 5th is “National Teacher Appreciation Day”.

 

 

Ø      Parent Directory – Ana / Andrea

·        Letter sent out with report cards requesting parent participation in the directory

·        Ana and Andrea will update the excel spreadsheet directory

·        Goal is to electronically distribute the directory to all PTSA members in the beginning of January

 

 

 

 

Ø      Fundraising

 

v     Comedy Show – Jean

Show is scheduled for Thursday, November 20, 2008.  Tickets have been distributed for sale by SADD students and parent volunteers.  Ticket sites set up at café during lunch waves and various times at the public library and Geisslers.  Jean will request that announcements be made at the high school and that Gary send out an e-mail blast to parents.  Final preparations being made – Bob Hall prepared to do light and sound; Jean making arrangements with comedians

 

 

v     Fruit Sale – Laura

Currently at about 80 boxes; approximately half of last year’s sales.  Sale will continue through Monday, November 24, 2008.  Fruit pick-up is scheduled for Saturday, December 13, 2008 from 8 a.m. – noon at the State Trooper’s office on Main Street (old fire station)

 

 

v     Mohegan Sun bus trip – Karyn

Working on flyers/posters to advertise trip.  Will begin to advertise after Comic Relief Night.  Bus deposit submitted.  Have decided to again conduct the 50/50 raffle.  Two bus leader volunteers are:  Kim Kelly and Laurel Laurino.

 

 

       VII.      Old Business:

 

v     Parent Volunteer Program – Penny Bryzgel

Penny Bryzgel not available.  Jean will e-mail Penny to obtain an update of the program.

 

 

v     Solicitation letter – Trish Olynciw

See discussion above, page 2, Scholarship Fund

 

 

     VIII.      New Business:

 

v     Donation request Spartan Advocate

Two students were supposed to be present to request fund for the student newspaper.  Jean will contact them to see if they will reschedule.

 

 

v     Somersnow.com assistance funds

Since the majority of the funding for Somersnow.com comes from the Rotary Club, PTSA members discussed possibility of making a donation to defray some costs.  PTSA posts minutes on Somersnow.  Discussion tabled until after comedy fundraiser.

 

 

 

         IX.      Other Discussions:

·        Karyn requested that some of the funds from the Staples rewards be used to purchase labels for Safe Grad

·        Laura Braica will set up a table to sell fruit at the Sports Awards evening being held on Monday, November 24th
