          RECREATION COMMISSION SPECIAL MEETING MINUTES

                                  Monday, 7:30 PM September 8, 2003

                                       Somers Community Center

 

I.          CALL TO ORDER:            At 7:35 PM by Tom Chilicki.

 

MEMBERS PRESENT:             Tom Chilicki, Alan Walker, Bob Petkis (left early 8:20 PM), Tom Mazzoli, John Bartolf, Dan Avery

 

ABSENT:            Gwyn Hight-Rosshirt

 

NON-MEMBERS PRESENT: Jennifer Charette, Recreation Coordinator

 

II.            MINUTES OF LAST MEETING: The commission approved the minutes of the June 2, 2003 meeting and the July 21, 2003 meeting by a unanimous 5-0 vote.

 

III.            AUDIENCE:            Kim Keesee presented a travel program for possible inclusion for the recreational flier.  The commission accepted the proposal as a program and stated that this program would need to fall within the parameters of our self-support policy.

 

IV.            BILLS/PURCHASES: Bills were reviewed and accepted. An updated budget report from Jen Charette was reviewed and accepted by the commission. Jen Charette will provide an updated report at the next meeting of the final expenses for the coed softball league.

 

V.            REPORTS

 

A.        Summer Camp:           Tom Mazzoli and Jen Charette will schedule a camp committee meeting for September. Jen Charette will provide a final camp report at the October meeting.

B.       Park:                           The Somers Soccer Association is using school fields because of the damage top the park soccer fields.

Jen Charette ordered the pavilion sign and the skateboard park sign (and will email the commission on wording of sign for approval). Jen Charette will coordinate funding for the signs through the youth services account.

C.        Budget 2003-04:         The budget was reviewed as submitted by Jen Charette. Tom Chilicki will obtain clarification from the First Selectman on inclusion of the recreation director’s salary line item from the 2003-04 budget.

 

 
 
VI.       OLD BUSINESS

 

A.      Sports Association: Tom Chilicki updated the commission on the August 18th sports association meeting. Discussion was held on CPR classes and a sportsmanship/anti-bullying class for coaches.

                                                                                                                                               

B.     Field/Facilities: No update.

 

VII.     NEW BUSINESS

 

A. Fall Programs:      Fall programs were reviewed.

 

VIII.            COORDINATOR’S REPORT: The commission reviewed both the July 21, 2003 and August 4, 2003 coordinator’s reports. Gail Kuda has been hired by the Board of Selectman for fill-in office help for the recreation department.

 

IX.            OTHER

The commission requested that Tom Chilicki contact the First Selectman regarding continuing issues with the ex-recreation director.

 

The commission commends Jen Charette on the outstanding performance to date as the recreation coordinator.  In particular Jen was complimented for her innovations to improve communication between citizens and the recreation office, incorporating technology in the registration process, and her skillful manner in resolving some last minute scheduling dilemmas thrust upon her.

1.         August 4, 2003 letter from Tom Chilicki to Cressotti Baseball School regarding facility usage fees.

2.         August 4, 2003 letter from Tom Chilicki to Conrad McIntire regarding facility usage fees.

3.         August 28, 2003 letter from Tom Chilicki to Dick Jackson regarding missing recreational equipment.

4.         August 29, 2003 letter from Tom Chilicki to Conrad McIntire regarding Yankee/Red Sox tickets and payments.

 

XI.            ADJOURNMENT

            The commission adjourned at 9:10 PM.
