SOMERS SCHOOL BUILDING CONSTRUCTION COMMITTEE

The meeting was called to order at 7:31pm by Chairman Roland.

 

Minutes of the 3/8/07 meeting were unanimously approved as presented with one correction, paragraph 2 under MBA/CO, delete “left” and  insert “spent”

(Butler, Broer).

 

MBA/CO---Media Center has temporary CO, furnishings have come in, books being moved back, will be in use after vacation. 

Science rooms are nearly done, EBI targets next week.

Phase 5, toilet rooms will be done end of month.

Phase 7, will start in CO area during vacation week.

June to do wrap up, substantial completion of CO end of May.

H.Pease states his punch list is 8 pages, both sides.  Recommended it be formalized and sent to Committee members and EBI, ask for response from EBI by 5/10/07 meeting.  Chairman Roland urged the Committee to do walk-throughs and add items to punch list, as we are nearing completion.

H.Pearson distributed budget/PCO sheets.  We are at 93.46% completion and have spent 95.83 of contingency.  Several PCO’s are pending.  A motion was made and unanimously approved to approve PCO 111 ($841) and 112 ($319)

(Cowles, Butler).   A motion was made and unanimously to direct MPN to get numbers from EBI on insulation at window heads, credit on overhead doors, and other outstanding items (Cowles, Butler).

FF&E not all spent yet; unbid and unbought items--B.Boutwell and N.Barry are looking at list to confirm needs and make adjustments.  B.Boutwell will address CO items formerly deducted, and J.MacFeat will look at facilities and security items.  Table for Media Center Computer Room ($199.69) tabled.

H.Pease reported the Computer Room has an old window held together with a slide bolt, need a new window, non-sliding, has quote of $2100 from Eastfield Glass.  H.Pearson will review quote.  A motion was made and unanimously approved to purchase window, pending final approval by MPN (Cowles, Butler).

Some shelving from old Media Center will be used for general storage.  There is other furniture available for anyone who can use it—wooden oak Media Center chairs, old computer desks, plastic stacking chairs, cafeteria tables.  J.Formeister and H.Broer will contact parties who were interested in furniture last fall.  If storage space can be found, we can advertise later as well.

Health inspectors were in kitchen—condensate drain going into a pan is presenting problems.  MPN will investigate.  Girls’ side of gym—3 sprinkler heads and no heat.  Also leak in corner of gym and over basketball net.

Disucssion about replacing tree in front of school, as it is not looking well.  Concern that it is a memorial; could be transplanted elsewhere on property, need to look into this.  Possibility of transplanting large tree that’s in front of library next to flagpole now; it will be removed when library construction begins.

Discussion of dedication plaque.  A motion was made and unanimously approved to use design presented by H.Pearson as amended, pending verification of names of absent members (Cowles, Butler).

Discussion of having Open Houses at all 3 schools in early fall so the public can see all 3 projects.  To be promoted by BOE, PTA, PTSA, Senior Center, etc.  A Saturday morning–early afternoon time frame, with refreshments, would be anticipated, 9/8 or 9/22.  J.O’Brien and J.Persano will co-chair coordination of Open House.
